How to approve ACH and wire payments in the new online banking system

Online banking transactions, such as ACH and wire payments, are only considered complete when they are fully approved. Your company may utilize dual controls and require multiple users to approve a transaction. Use this guide, if you have approval rights and need to approve a drafted transaction.

If you have not yet enrolled in Business Online and ACH/wire services, please complete a request form.

Once enrolled, log into Business Online, click Transfers & Payments and then Online Activity.

Approving a Drafted Transaction

If your company utilizes only one approval on transactions and you can both draft and approve, then you can place your approval when creating an ACH and Wire Payment. Otherwise, follow the instructions below.

  1. On the Online Activity page, click Single Transactions or Recurring Transactions, depending on the type you are approving

  2. After choosing either single or recurring, locate your drafted transaction using Filters or Search Transactions

    1. Filters: This tool will narrow the Online Activity list based on parameters such as Transaction Type, Status, Tracking ID, and more

      Note: Change the Status filter to Drafted so your list of transactions only shows those that are still pending approval.

    2. Search Transactions: Find your transaction by typing in details such as the Tracking ID, Transaction Type, or amount

    Note: If you see your transaction on the list, you can simply click on it rather than use the filter or search tools.

  3. Once you have located and selected your drafted transaction, review the Transaction Details

    Note: Scroll to the bottom of the Transaction Details to see the current Transaction Process, including information about how many approvals are still needed.

  4. If all the Transaction Details are correct, click the three-dot-button and choose Approve

    Note: If your three-dot-button does not have an Approve option, then you are outside the approval window and the transaction must be redrafted. If your drafted transaction contains errors that need to be corrected, do not click Approve. In either situation, refer to the instructions below about Correcting a Drafted Transaction.

  5. When you click Approve, a Secure Access Token Required message prompts

    • Open the Symantec™ VIP Access app to generate a Security Code

    • Enter the Security Code on the Secure Access Token Required message and then click Verify

  6. After entering your Security Code, a Transaction Drafted message appears with information about your transaction:

    1. Transaction requires # approval(s): This message shows how many approvals remain to be collected on the transaction

    2. Transaction ID: Use this ID to find your transaction in Online Activity

    3. Total Amount: Shows the dollar amount of your transaction

    Note: If you are placing the final approval on a transaction, then you will instead receive the Approval Successful message which states that the Transaction was successfully approved.

Correcting a Drafted Transaction

Drafted transactions cannot be edited. If your transaction contains errors that need to be corrected or is outside of the approval window, follow the instructions below.

  1. On the Online Activity page, locate your single or recurring drafted transaction using Filters or Search Transactions

    Note: If you see your transaction on the list, you can simply click on it rather than use the filter or search tools.

  2. Once you have located and selected your drafted transaction, click the three-dot-button and choose Cancel

  3. After canceling, click the three-dot-button again and choose Copy

  4. A payment page loads with your copied payment details, locate the error on this page, correct it, and then click Draft or Approve

    Note: Any previously collected approvals do not carry over to the copied transaction. Please ensure your company's designated approver(s) fully approve the new transaction. For detailed instructions on creating a transaction, please refer to the ACH and Wire Payments article.
