How to email a W9 to beneficiary for signing in ZEscrow

When opening a security deposit account where the tenant is the beneficiary of earned interest, you are prompted to include the tenant's completed W-9, Request for Taxpayer Identification Number and Certification. In instances where you do not have the physical copy of the completed W-9 of the beneficiary, you can follow these steps to a copy to your tenant to complete using Docusign:

  • During the account opening process, you can select "Email W9 to Beneficiary". You will then be prompted to enter in the tenant's name and email address. You can then select "Continue".

  • A W-9 will then be sent directly to the tenant's email address for signing via DocuSign.

  • Once returned, you will be notified via email that the W-9 has been completed.

  • from the email, you can download the completed W-9 and upload it into the tenant account. To do so, complete these steps:

    • Navigate to the individual tenant account. On the left side of the screen, under account documents, select "Complete" and then "Manual Upload".

    • You will then be prompted to enter in the specific beneficiary details such as beneficiary name, address, SSN, phone (optional), email (optional). Then select "Continue".

  • Once the W9 has been uploaded to the tenant account, you can then fund the individual account by selecting "Transfer Funds" (in the top right corner). You will then move funds from the associated master account to the individual tenant account. It will take a business evening for the funds to transfer from the master to the tenant account.

  • The transfer statuses will automatically change from "scheduled" to "pending" to "reconciled". Once reconciled, the tenant account opening process is complete.
